FIELDEAS Track and Trace cross-cutting modules

Track and Trace Module

The Track and Trace module is the name of the solution, which means that it is the engine of the solution.

All core functionalities or functionalities linked to the particularities of the business are defined and configured in this module.

Its main functionalities include:

  • Definition and creation of users, agencies, drivers, vehicles and their relationships.
  • Definition and creation of route and stop typology.
  • Definition and creation of business rules, state typology and rules for transitions between states.
  • Definition and creation of common entities (type of incidents, type of vehicles, user profiles…).

Benefits of the Track and Trace module

Centralization of system configuration

The module acts as the engine of the system, concentrating all configuration in a single environment. This simplifies management, avoids duplication and ensures consistent administration of users and business rules.

2. High customization capacity

It allows to adapt routes, statuses, incidents and operational flows to the specific needs of each company, without additional developments. The flexibility of the module guarantees an operation fully aligned with the business model.

3. Optimization of operational control

It offers complete traceability of actors, vehicles and tasks, improving data quality and real-time visibility of the entire logistics chain.

4. Scalability and simplified maintenance

The existence of a central module allows extensions or changes (new clients, new types of transport, new rules) to be implemented in a faster and more controlled way. Thus, it favors a more efficient maintenance, reducing configuration times and possible errors.

5. Consistency and standardization of processes

Thanks to the definition of common entities (typologies, statuses, profiles), operational uniformity is ensured throughout the organization and among the various stakeholders (shippers, carriers, consignees).

This generates more predictable and consistent processes, facilitating collaboration and interoperability between systems.

6. Solid basis for advanced traceability

This module constitutes the operational database on which the most advanced functions of FIELDEAS Track and Trace are based: real-time monitoring, predictive analytics, alerts and reporting.

This allows for greater capacity for analysis and decision making based on reliable data.

Communication Module

In order to make FIELDEAS Track and Trace a proactive solution, the Communication or Collaboration module has been developed.

This module allows to inform all the actors in the chain, both product users and third parties (end customers, agencies, other partners), of all the events that occur during the course of a shipment.

In addition, it is configurable by the system administrator, which gives freedom to focus on the really important events or alerts, adjusting to the day-to-day needs of each user, which favors the establishment of management by exception.

The functionalities of the Communication module are:

Notifications:
  • Events or statuses. The system generates notifications about scheduled events or statuses, confirming the execution of the activity.
  • Warnings. The module communicates problems that are occurring at the moment or situations that if they occur repeatedly over time can become a problem. An example is access restrictions to ADR or traffic issues.
Communication channels

In addition to customizing the message depending on the type of notification, the following channels can be selected: email, SMS, push messaging in the app, notifications in the web portal.

Distribution lists

This module allows you to configure distribution lists so that information reaches interested profiles. In this way, each user receives only the information relevant to his or her role, improving coordination and reducing response times.

In addition, notifications are interactive, allowing you to react directly to alerts or events, streamlining decision making and incident management.

Customer channel

This functionality of the Communication module is oriented to keep the consignee of the goods informed of all the stages of the shipment.

Through the centralization of information, thanks to the sending of a temporary link per shipment or through direct access to the platform, the end customer can know at a glance the status, the ETA, the documents, the status of the route…

Benefits of the FIELDEAS Track and Trace Communication Module

Proactivity in management

The module turns the solution into a proactive tool, anticipating problems and communicating critical dispatch events in real time. It allows management by exception, i.e., to focus only on what is really important without the need to review the entire data flow.

Efficient and multichannel communication

Possibility of sending notifications by email, SMS, push in the app and web portal. This ensures that the information arrives on time and through the channel that best suits each profile (operator, end customer, agency, etc.).

Personalization and relevance

Flexible configuration by the administrator so that each user receives only the information he needs. In this way, the user is not saturated with irrelevant information, but gets alerts tailored to his operations.

Intelligent distribution

Configuration of distribution lists so that information reaches only the right decision makers and decision makers. This avoids information dispersion and ensures that those who must act receive the alert in time.

Responsiveness

The module not only informs, but also allows you to react to the notification (e.g. initiate a resolution flow, escalate an incident or activate an alternative plan). This gives the user immediate control and the possibility to solve problems without loss of time.

FIELDEAS Track and Trace Reporting and KPI’s Module

This module allows the user to create any report or graph with the data stored in the FIELDEAS Track and Trace platform.

These reports can be grouped into dashboards and associated to profiles, so that it is also possible to filter which users can access the information.

Benefits of the Reporting and KPIs module

Total visibility and control

The module centralizes reports and key performance indicators (KPIs) in a single environment. Thus, it allows the user to have a complete and objective view of the supply chain performance, without relying on scattered or manual reports.

Data-driven decision making

Facilitates faster and more informed decisions, thanks to indicators updated in real time. It reduces dependence on intuition or partial information and acts with reliable and comparable data.

Report customization

Reports and KPI’s are configurable according to role, customer or specific operation. In this way, the user receives exactly the information he needs to manage his area, without noise or excess data.

The module shows trends, patterns and history, helping to anticipate recurring problems. This drives more strategic management, focused on continuous improvement and cost reduction.

Transparency and alignment

It offers clear and accessible reports for customers, suppliers and collaborators. This promotes trust and transparency throughout the value chain, strengthening business relationships.

Time savings and efficiency

Automates report generation, eliminating manual data consolidation tasks. This frees up time for the user and his team to focus on strategic actions instead of operational work.

Measurement of objectives and SLAs

KPI’s allow to measure the fulfillment of objectives and service level agreements (SLA’s). Thus, the user can evaluate whether commitments to customers are being met and detect deviations in time.

Integration Module

The Integration layer allows FIELDEAS Track and Trace to communicate with external systems, thus offering the client the ability to establish information links with other areas of the company.

Mainly, this module has the ability to receive or send information in a fully automated way, both for software solutions (ERP, TMS, WMS, CRM, etc.) and hardware products (digital tachographs, on-board GPS, cold or door opening probes, access barriers, license plate readers, scales, etc.).

This module or functionality also allows communication between other actors in the supply chain (shippers, logistics operators, carriers and consignees). In this way, an environment is established where the visibility of all transportation processes offered by FIELDEAS Track and Trace is guaranteed.

Benefits of the FIELDEAS Track and Trace Integration Module

The Integration module creates a connected, automated and transparent transportation ecosystem, eliminating information silos and improving the efficiency of the entire logistics chain.

Full connectivity

Centralizes communication with internal (ERP, TMS, CRM…) and external systems. In this way, it avoids duplication and ensures data consistency throughout the organization.

Process automation

Transmits information in real time without manual intervention, increasing operational efficiency and reducing human error.

Comprehensive supply chain visibility

It connects all stakeholders with up-to-date and shared information, fostering an environment of trust, collaboration and transparency.

Integration with IoT devices and hardware

Automatic data capture from tachographs, on-board GPS, sensors, access control systems or temperature control sensors, among others. This allows precise and continuous control of goods and transport.

Scalability and flexibility

The Integration module adapts to different systems, devices and technological partners, guaranteeing growth without technological barriers or dependencies.

Improved decision making

This module integrates all data flows into a global and real-time view, facilitating agile, informed decisions based on reliable data.

In the next post we will analyze in depth the specialized modules of FIELDEAS Track and Trace, thus completing all the functionalities and benefits of the solution.
